GroupWise Address Book

The address book can be accessed in several ways.  The instructions below assume the you are accessing the address book through the icon on your Tool Bar.

1.         From the icon on the Tool Bar  or from within the Create New Mail window. 

2.       In the address book you will find three default tabs. More can be created:

a.       Novell GroupWise Book – This has everyone at Augie who is on GroupWise. 

b.       Frequent Contacts – This book remembers all the addresses of people you have sent mail to.  You can edit these entries to make them more useful – See #4

c.        Your Name – This book is empty until you add to it.  You can add users here to make them easier to find and you can also use this book for storing “groups” you have created.

d.       To add a tab click on  File – New Book

3.     To add a person to your address book

a.       Open the Address Book

b.       Make sure you are in your Your Name tab or a tab you have created

c.        Click on New

d.       Click on Contact.  Then OK

e.       Fill in the form.  Fill in First Name, Last Name and e-mail address (click Add).  Look through the other tabs and enter any information that would be helpful. 

f.         Click on OK

4.     To edit an existing entry

a.       Open the Address Book

b.       Find and double click the entry you want to edit (you can’t edit the Novell GroupWise Tab)

c.        Click on the Contact tab and edit the information.

5.       To look up a student’s address.

a.       Setting up the Tab – needs to be done only the first time.

                                                                  i.      Open the Address Book

                                                                 ii.      Click on the Novell LDAP Address Book Tab

                                                               iii.      Click the Directories Button

                                                               iv.      Click Add

                                                                 v.      Give these settings a name.  I use Students

                                                               vi.      Click Next

                                                              vii.      Fill in the server name   ole.Augie.edu; Enter 2389 in the Server Port box.

                                                            viii.      Click Finish

                                                               ix.      Choose the Directory you just created from the list and click on Make Default.

                                                                x.      Close the window

b.       To look up a student

                                                                  i.      Open the Address Book

                                                                 ii.      Click on the Novell LDAP Address Book Tab

                                                               iii.      Type the Students first or last name in the Display name blank

                                                               iv.      Click the Retrieve button.

                                                                 v.      You should come up with a list of students.

                                                               vi.      You can mail to them from this window or click on their entry and drag up to another of your tabs to save it.

6.       Two ways to create a group in your address book -

a.        Find a message that you have received that was sent to the group you want to create. 

                                                                  i.      Open that message and Choose Reply

                                                                 ii.      Then Choose Reply To All

                                                               iii.      Click on the Address Book button.  Notice that the group of names now appears in the right hand column.   Click on Save Group at the bottom of the column and give it a name.

b.       If you don’t already have a message to the group. 

                                                                  i.      Go to your Address Book and double click each person you want to add to the group.  You can go back and forth between tabs if you need to. 

                                                                 ii.      Click on Save Group and give it a name

c.        To edit a group

                                                                  i.      Double click the group name from the address book.  Click the Details tab.

7.       Sharing an address Tab

a.       Right click on the tab that you want to share

b.       Click on Sharing

c.        Choose who you want to share it with from the Address Book

d.       Highlight each name you have chosen to give them specific rights. (Read only or All rights)

e.       Fill out the message box that appears.

f.         Each person you have shared with will get an e-mail message telling them that you have shared an address book with them.  They must click on Accept.  When they do this, the tab will show in there address book.
